Greetings On-Call Associates,
In anticipation of the upcoming relaunch of the “Event Management System (EMS) Personnel Portal,” we wanted to highlight some key changes and dates that will be critical to the transition:
- Wednesday November 1st – Accelerated Expense Report Submission Begins (48 hours)
Associates who have eligible expenses for events worked in the month of November will have an accelerated submission timeline. All expense reports should be submitted within 48 hours of completing an event. Reminder, expense reports should not be submitted prior to working an event. Please visit the Personnel Portal to view the full Travel & Expense Policy.
- Friday November 10th – Current Personnel Portal No Longer Active
The current Personnel Portal will no longer be active beginning on Friday, November 10th. Associates will not be able to manage their event schedule within the Portal, and should plan ahead to prepare for scheduled events following this date. Associates will work outside the Portal during the transition to our go live date on Monday, November 27th.
- Expense Management Temporary Changes, November 6 - early December: All confirmed On Call Associates will receive an expense report via email for all events during this time period. Expense reports will be returned to screening@hfit.com. You will receive instructions within the email as you receive expense reports.
- Travel Plan Communications will be sent via email Friday, November 10 for the week of November 13th. You will receive all travel plans via email November 10 into early December.
- Recruitment and Event Notification will occur outside the Personnel Portal from November 10 - November 26. You will receive emails to notify you of future opportunities.
- Communicate your event changes and questions through screening@hfit.com. Please follow protocol if you have an emergency 24-hours before and need to cancel from an event, always contact your Event Manager and screening@hfit.com.
- Address changes can be submitted through screening@hfit.com From November 11 - November 26.
- Unique to Seminar Presentations: Our scheduled On-Call Health Educators will receive specific directions with the following reminders:
- Preparation Tasks: Download all presentation materials, coversheet and attendance sign in sheet in advance of the seminar
- Save and ensure accessibility to Site Address, Site Contact Phone Number, Site directions and any applicable event notes prior to seminar
- Send all post event requirements (survey coversheet & attendance) to seminars@hfit.com within the expected timeframe
- Timecards will be submitted for you during this transition period, you will not be required to submit your timecard from November 11 - November 26
- Monday November 27th – New EMS Personnel Portal Go Live!
Beginning Monday November 27th, Associates will begin using the NEW EMS Personnel Portal (Event Notifications/Scheduling, Timecards, Travel Logistics & More!). All eligible expenses will need to be submitted directly via Concur Expense Management System.
There are several things you can do now to prepare for the transition:
- Expense Report(s): If you’ve recently worked and have not submitted your expense report, please do so as soon as possible. We will be accelerating the expense submission timeline for the month of November to ensure all expenses are processed and paid in a timely fashion. All associates should submit their expenses within 48 hours of completing their event.
- Address Change(s): If you have recently moved, please submit an Address Change via the Personnel Portal. Please see the attached User Guide for steps on how to submit a Change of Address via the Personnel Portal.
- Contact Change(s): New Phone Number or Email Address? Please submit a Personal Information Form (attached) change to screening@hfit.com so that we can update your records.
- Login: Associates will continue to use their current Username and Password on the NEW EMS Personnel Portal. If you haven’t done so already, please register on the current Personnel Portal. Attached is a User Guide to walk you through the 2-part process. If are currently registered, please take a moment to login to confirm that you have an accurate and current Username and Password. As a reminder, passwords do expire every 90 days. If you have not recently updated your password, please see the attached User Guide for assistance.
